Setting Capacities

Overview

Capacities are the maximum number of appointments, services, transportation options, etc. that a dealership can accommodate for a specific time frame (e.g., Mondays at 10 a.m.). Shop Capacity – initially set during the dealership’s Xtime deployment – refers to the number of appointments that can be booked or the total number of technician hours that are available to be booked each day.


While capacities are typically maintained by the dealership’s Xtime Administrator, capacity numbers can vary daily. For example, the dealership may be able to book 36 appointments or 140 technician hours each day, eight loaners/rentals, and one valet appointment today but tomorrow, the dealership may need capacity set to different values due to advisor/technician work shifts.

 

Resolution

*CAPACITIES MUST BE SET FOR ALL TEAMS INDIVIDUALLY IF TEAMS ARE ENABLED*

To adjust Shop/Skill Capacity Settings:

  1. Go to Configure > Resources > Capacity.
  2. Select Shop/Skills from the Type drop-down menu.
  3. Select Team from the drop-down menu, if applicable.
  4. Under Shop Capacity, enter or edit the Daily Threshold (the maximum number of appointments/hours leaving enough room for walk-ins and carryovers).
  5. Under SkillCapacity, enter or edit capacities for each skill listed (e.g., Recalls). OPTIONAL: Copy Capacity settings by clicking the day drop-down, selecting the day(s) to apply the capacity to and click Apply.
  6. Click Save.

 

To adjust Advisor Capacity Settings:

  1. Select Advisor from the Type drop-down menu.
  2. Select Team from the drop-down menu, if applicable.
  3. Enter or edit the Daily Threshold (The maximum number of appointments that can scheduled for this capacity).
  4. Enter or edit capacities for individual day(s) of the week by time slot, or click Bulk Edit to update every time slot for specific day(s) of the week.
  5. Click Save.

 

To adjust Wait Capacity Settings:

  1. Select Wait from the Type drop-down menu.
  2. Select Team from the drop-down menu, if applicable.
  3. Enter or edit the Daily Threshold (The maximum number of appointments that can scheduled for this capacity).
  4. Enter or edit capacities for individual day(s) of the week by time slot, or click Bulk Edit to update every time slot for specific day(s) of the week.
  5. Click Save.

 

To adjust Loaner/Rental Capacity Settings:

  1. Select Loaner/Rental from the Type drop-down menu.
  2. Select Team from the drop-down menu, if applicable.
  3. Enter or edit the Daily Threshold (The maximum number of appointments that can scheduled for this capacity).
  4. Enter or edit capacities for individual day(s) of the week by time slot, or click BulkEdit to update every time slot for specific day(s) of the week.
  5. Click Save.

 

To adjust Web Capacity Settings:

  1. Select Web from the Type drop-down menu.
  2. Select Team from the drop-down menu, if applicable.
  3. Enter or edit the Daily Threshold (The maximum number of appointments that can scheduled for this capacity).
  4. Enter or edit capacities for individual day(s) of the week by time slot, or click BulkEdit to update every time slot for specific day(s) of the week.
  5. Click Save.

 

To adjust Valet Capacity Settings:

  1. Select Valet from the Type drop-down menu.
  2. Select Team from the drop-down menu, if applicable.
  3. Enter or edit the Daily Threshold (The maximum number of appointments that can scheduled for this capacity).
  4. Enter or edit capacities for individual day(s) of the week by time slot, or click BulkEdit to update every time slot for specific day(s) of the week.
  5. Click Save.
