Advisor Appointment Summary Report

Overview

The Advisor Appointment Summary will track appointment actions – such as created, scheduled and showed – by Advisor. Use this report to monitor and encourage Xtime adoption and usage by Advisors at your dealership.


Dealerships should run this report on a weekly and monthly basis, as it will give them not only a week-by-week glimpse, but also an overall view of Advisor’s usage of Xtime.

Resolution

To run the report:

  1. Go to Reports.  
  2. Click on the Advisor Appointment Summary.
  3. You will then be taken to the Xtime User Portal.  As an Xtime user, you have access to multiple versions of each report based on hierarchy. Please select the dashboard and hierarchy you are looking for.  Note:  Most dealerships only have access to the Manufacturer Hierarchy version of the report.  So, using this one will prevent confusion.
  4. Set the Start Date.
  5. Set the End Date.
  6. Set the Manufacturer Division.
  7. Set the Manufacturer Dealer Name.
  8. The other fields are optional.
  9. Click Apply.

 

Metric Glossary

Advisor Full Name - Name of the Advisor.

Created By - Created appointments are ones added in Schedule during the report date range. They are not necessarily appointments that occur during the report date range. So, Created By Appointments are those added to the system during the report date range, by that advisor, with any appointment date (within or outside the report date range). (channels: In-Dealership, Call Center)

Scheduled By - Scheduled appointments are ones that occur during the report date range. They may have been created within or outside the report date range. So, Scheduled By are appointments that were created by the advisor and are scheduled to show during the report date range.  (channels: In-Dealership, Call Center)

Created For - Created appointments are ones added in Schedule during the report date range. They are not necessarily appointments that occur in the appointment date range. So, Created For Appointments are those added to the system during the report date range, for that advisor, with any appointment date (within or outside the report date range), but booked by anyone. (channels: All)

Scheduled For - Scheduled appointments are ones that occur during the report date range. They may have been created within or outside the report date range. So, Scheduled For are appointments that were created for that advisor (by anyone at the dealership/call center) and are scheduled to show during the report date range. (channels: All)

# Show - Total number of customers who showed for their appointment for that specific Advisor during the designated date range.  (channels: Web, In-Dealership, Call Center, DMS)

Show % - Total number of appointments that showed for their appointment for the selected date range. The show percentage is calculated by taking the showed appointments and dividing by the total number of scheduled appointments (Scheduled By & Scheduled For) for the Advisor during the date range.  A healthy Show percentage is 85% or higher, which is an average of 6 percentage points higher than appointments scheduled in the DMS.  (channels: Web, In-Dealership, Call Center, DMS)

 

Note:  Virtual Org Unit Advisor is for any appointment that is scheduled with the Any/Unspecified Advisor.
